Job Responsibilities
- Providing Executive Assistant support to IPG Senior Leaders.
- Leading and mentoring the IPG Executive Assistant Team, ensuring Gold Standard client service.
- Coordinating team schedules and monitoring / approving time off requests to ensure seamless coverage across all locations.
- Training and onboarding new administrative staff, fostering a collaborative, high performing team.
- Identifying and supporting learning and development opportunities for the team.
- Collaborating with other Administration Managers to set and review Administration Department goals.
- Acting as an advocate and mentor for the Administration Team.
- Implementing process improvements for increased efficiency and service quality.
- Conducting performance reviews and providing actionable feedback.
- Engaging in high visibility projects and collaborating with Senior Leaders to support firmwide initiatives.
- Contributing to high-impact decisions that affect the department and broader business operations.
- Providing / coordinating administrative backup support to the Executive Assistant Team including support to the Executive level offices as needed.
Requirements
- Bachelor’s degree required.
- Minimum 5 years’ experience in a managerial capacity is preferred coupled with at least 10 years’ experience in an Executive support role.
- Strong leadership and coaching abilities.
- Excellent computer skills including Microsoft Office suite; previous experience using a CRM program is a plus.
- Excellent verbal and written communication skills.
- Strong organizational skills.
- Detail-oriented, meticulous, highly accurate.
- Knows when to ask questions with a heightened sense of urgency.
- Friendly, upbeat and collaborative demeanor; good at building alliances and possesses a helpful, client support attitude.
- Capable of exhibiting diplomacy and discretion when handling confidential and sensitive information.
- Strong work ethic.
- Proactive problem-solving abilities.
- A “no task is too small” attitude.
- Ability to manage changing demands in fast-paced environment with strong multi-tasking skills.
Salary
$145,000 – $165,000 a year
