Job Responsibilities

  • Providing Executive Assistant support to IPG Senior Leaders.
  • Leading and mentoring the IPG Executive Assistant Team, ensuring Gold Standard client service.
  • Coordinating team schedules and monitoring / approving time off requests to ensure seamless coverage across all locations.
  • Training and onboarding new administrative staff, fostering a collaborative, high performing team.
  • Identifying and supporting learning and development opportunities for the team.
  • Collaborating with other Administration Managers to set and review Administration Department goals.
  • Acting as an advocate and mentor for the Administration Team.
  • Implementing process improvements for increased efficiency and service quality.
  • Conducting performance reviews and providing actionable feedback.
  • Engaging in high visibility projects and collaborating with Senior Leaders to support firmwide initiatives.
  • Contributing to high-impact decisions that affect the department and broader business operations.
  • Providing / coordinating administrative backup support to the Executive Assistant Team including support to the Executive level offices as needed.

Requirements

  • Bachelor’s degree required.
  • Minimum 5 years’ experience in a managerial capacity is preferred coupled with at least 10 years’ experience in an Executive support role.
  • Strong leadership and coaching abilities.
  • Excellent computer skills including Microsoft Office suite; previous experience using a CRM program is a plus.
  • Excellent verbal and written communication skills.
  • Strong organizational skills.
  • Detail-oriented, meticulous, highly accurate.
  • Knows when to ask questions with a heightened sense of urgency.
  • Friendly, upbeat and collaborative demeanor; good at building alliances and possesses a helpful, client support attitude.
  • Capable of exhibiting diplomacy and discretion when handling confidential and sensitive information.
  • Strong work ethic.
  • Proactive problem-solving abilities.
  • A “no task is too small” attitude.
  • Ability to manage changing demands in fast-paced environment with strong multi-tasking skills.

Salary

$145,000 – $165,000 a year
